Single Microsoft Tenant Project

Your Art and Wellness Technology Team is working on a big project!

Currently, all entities in our ecosystem are separated by barriers in the cloud. Our goal is to make collaboration simpler and merging Microsoft tenants is the solution.

Pros:

• Seamless Collaboration - Employees from all entities in the ecosystem would be able to collaborate seamlessly.

  • No more "External and Guest" accounts to have to choose when sharing files or chatting in Teams.

• Unified Security - security settings would be standardized utilizing best practices framework across all entities. 

• Calendar and Mailbox Delegation - mailbox and calendar delegation would be possible cross-entity. There would no longer be a need to have multiple Microsoft accounts to manage. 

• Device Management - Centralized device management will streamline laptop setup time and allow for on demand updates and application installation. 

How We Get There

• Tenant Merge - your technology team will migrate all of your data including Mail, OneDrive, SharePoint, and Teams to a central Microsoft tenant. 

Schedule of Tenant Moves

• Timeline - as with everything in technology, for maximum impact and highest efficiency, these tenant moves need to be completed one at a time, in a certain order. 

  • Art + Wellness - Completed Dec. '23

  • Alice L. Walton Foundation - Completed Dec. '23

  • Heartland Whole Health Institute - Completed Dec. '23

  • Art Bridges Foundation - Completed Feb. '24

  • Crystal Bridges/Mo - Anticipated completion June '24

  • Alice L. Walton School of Medicine - Anticipated completion September '24

• Process - each organization's experience in moving to the single tenant will be unique, however for the most part here are the steps for completion:

  • Identify mail, SharePoint to move

  • Rapidscale moves all except the SharePoint (we do this)

  • Create new accounts - transfer data

  • Custom domain - transfer

• Impact - what will this shift feel like?

  • End users will feel exactly like a new employee experience - except all of your 'old' data/calendars/email will be in your new-to-you account

  • Art Bridges Foundation only - Art + Wellness will go computer to computer to move all to Azure

  • Crystal Bridges/Mo only - Very simple change, instructions will be provided for self-service, however Art + Wellness will be on-site to help (similar to Workday trainings)

We Need your Help

• Patience and Grace - we are working diligently to prepare every aspect of the merge so it is as seamless as possible for employees. At times there may be hiccups, but we will work hand in hand with you to correct any issues and keep the project moving. 

• Passwords and MFA - when your account is merged into the new Microsoft tenant you will be required to set your password again (it can be the same) and re-register for MFA.
